Another great Deep-Dive.  About a dozen or so residents were on the call.  Michael was the star of the show with his introduction and has demonstrated just in the last 2 weeks and especially during the meeting yesterday the positive direction Michael is helping us move toward.

Out-brief (10/02/2020 – written after the meeting)

As an out-brief, here’s the information I’ve taken down that we’ll be following up on from the Deep-Dive.  Please send a note or comment on the post if we missed anything you’d like to add:

  • “Knight-time” catering (I’m guessing at the spelling)… going to try Michael’s catering company
  • Around the Building:
    • Fire Inspections: Being Scheduled – Standpipe, Annual Cert, Extinguishers –> before 10/19
    • Rodents: Quotes Scheduled – Plan/Execution/Maintenance/+
    • Boiler Room: Was finished, Leaked again, Revisiting…
      • No backup boiler
      • 4th leak in a year for Mark (October 2019 and 3 this year)
    • Dryer Ducts: Quotes Scheduled – Clean them out from outside the building rather than in recidence
    • Common area: Delayed until official board pivots liability concerns to the community
    • Sump Pump (Basement Ejector Pump) – Scheduled quotes + regular maintenance
  • Off-Site Management – LBHS
    • 3 options: Scott (get Geoffrey Lloyd), AllstateHOA (best reviews), FSResidential (Manage Villa Riviera)
      • Geoffrey Lloyd:
        • – Jane – kept the board on the straight an narrow, more of Bali issues and the person he was answering to (Sheryl), took pride, tours to historical society, maintaining the way it was presented,
        • – Daniel – echo Jane, individually he was great
        • – Mark – boils down to who you’re working with on a day-to-day basis
        • – Natasha – appreciated Geoffrey, gave a lot of freedom to Pete
        • Negative – issues brought to our attention outside of the meeting by various residents…
      • AllstateHOA:
        • Front-runner from our perspective.  Solid team, vastly positive reviews and feedback, good processes, etc.
    • Board Member Changes:
      • No board member changes
      • Update on the voting process – scheduling re-voting with ballot-box, off-site voting
    • Technology:
      • Office 365 Up-and-Running
      • Next-step: Process flows, Procedures, Communication flows (Probably with new Management Company)
    • Security:
      • Keys & Re-keying Schedule
      • Surveys turned-in with new keys –>
        • Covers Keyfob ID Review and Purging, Emergency Contact List, Email for Newsletters, Phone numbers for Emergency SMS list
      • Communication:

Deep-Dive Session:
Prior to our 10/8 monthly HOA meeting we’re going to do 1 more Deep-Dive this Thursday at 6pm (10/1) in an effort to status all that’s currently outstanding AND most importantly brief you on all the changes happening.  Our last Deep-Dive on 9/15 was seemingly very helpful to align everyone’s expectation, communicate what’s been going on with the HOA, and On- and Off-Site Management teams.

This session will include:

On-Site Manager – Michael Intro (live and in-person):

  • Michael will be joining us on our meeting to introduce himself – although I’m sure a lot of you have already met and welcomed him to the community!
  • Michael has jumped right in and has been vigorously attacking all of the outstanding tasks.  His enthusiasm, consistency, and thoroughness has been seen and felt.  We look forward to continuing the positive direction that Michael is helping lead us back to.

Off-Site Management – Transition from LBHS

  • LBHS will not be continuing after December
  • Research, Quotes, and Interviews
  • Current Options: Scott Management (we get Geoffrey Lloyd), AllstateHOA (The best reviews), FSResidential (Manage Villa Riviera)
